Eurocities, the network of major European cities, is recruiting an events officer to work in the Eurocities events team. The candidate would ideally start in February 2023.

Responsibilities

As events officer, you will be responsible for managing and organising events, and helping to execute all phases of planning and executing live, virtual, and hybrid programmes. You will work as part of the Eurocities events team, under supervision of the events director. In this role, you will:

  • Support our thematic forums, for example, culture, economic development, in the organisation of their main events
  • Develop a close working relationship with the forum coordinators
  • Support the organisation of online meetings
  • Support other Eurocities events when and as needed

In general, your main tasks would include:

  • Assist with registrations, invitations, live online support, management of online meeting tools, shipments, stand duty
  • Propose and organise activities, for example networking activities, social events, etc, that are complementary to the event programme
  • Provide on-site liaison and support, traveling when necessary
  • Manage offers, rooming lists, signage/displays orders, speakers
  • Ensure that catering and technical equipment are provided, with quality standards, for in-person events
  • Run post-event surveys and provide recommendations for future events
  • Manage external contracts and communication with suppliers and partners, as necessary
  • Manage events budgets and ensure financial control and reporting
  • Support the events team in general

Profile

You are an experienced professional who is full of initiative, self-driven, curious, creative, flexible and results-oriented – as well as a good team player.
The skills and experience to do this job successfully include:

  • at least three years of relevant work experience
  • full proficiency in English; other languages an asset
  • experience in events organisation, both for in-person and for online events
  • a strategic mindset, and you are creative problem-solver
  • experience in working with multiple stakeholders at transnational level
  • good networking abilities and interpersonal skills for an international environment
  • excellent relationship management, coordination, and communications skills
  • good ability to prioritise tasks when faced with multiple deadlines and operate under tight deadlines
  • exceptional organisational skills and attention to detail

We offer

  • a full-time position as an employee, under Belgian legislation. The selected candidate will need to either live in Belgium or be willing to move to Belgium for the duration of the contract (candidates need to provide a Belgian address)
  • salary according to profile and experience between €2,800 and €3,000 gross per month
