Finance and administrative officer

Eurocities, the network of major European cities, is recruiting a Finance and Admin Officer to work with the Finance and HR teams. 

The candidate would start as soon as possible, ideally mid-March 2026, or as soon as possible thereafter.   

 

Responsibilities 

As Finance and Admin Officer, you will provide administrative and financial support to the accountancy, finance and HR teams. 

As part of Eurocities’ team, you will support our accountancy, administrative and office management work, along with our financial work on EU-funded projects. 

You will work as part of the Finance team at the Eurocities Brussels office, under the supervision of the Director of Projects Finance and Data-Driven Performance and the People and Operations Director. In this role, you will: 

EU projects financial implementation:  

Support the day-to-day administrative management of EU funded projects by: 

  • Preparing ad hoc documents for project audits and maintaining project financial documentation and internal records 
  • Supporting the monitoring of projects’ budget, including follow-up of outgoing and incoming invoices 
  • Supporting the preparation of costs statements, reviewing travel reimbursement claims and monitoring staff costs 
  • Assisting in the administrative preparation and submission of new proposals and tenders 
Accountancy and travel 
  • Purchases:  
    • Coordinate with the accounting team for the processing of purchase orders  
    • Contact office suppliers and technical assistance/office shipments 
    • Liaise with staff to clarify and resolve accounting and financial questions 
    • Maintain clear records for audits and reporting 
  • Travel:  
    • Collect and manage data related to internal trainings and staff travels 
    • Process, verify, and validate travel reimbursement claims from externals 

Profile 

You are a very organised person, you enjoy working on diverse tasks with your team, and independently, and you have a knack for numbers and Excel. 

The skills and experience to do this job successfully include*: 

  • Education: A bachelor degree in finance, accounting, business administration, economic sciences or management 1+ years experience in financial management or accounting 
  • Excellent written and spoken English 
  • Good level of spoken and written French 
Proven experience in the following: 
  • Advanced proficiency in Microsoft Excel (e.g., data analysis, pivot tables, formulas, reporting) 
  • ERP systems (experience with Odoo is a strong advantage) 
Skills: 
  • Excellent organisational skills 
  • Attention to detail 
  • Flexible to work on diverse tasks 
  • Communication and collaboration skills in a multi-cultural environment 
  • Ability to interact with internal/external stakeholders, in a professional manner  
  • Ability to present budget/financial information to non-financial stakeholders 
Highly valued: 
  • Experience in EU project funding (knowledge of processes, applications, and compliance requirements) 
  • Client-servicing skills

We offer 

  • a full-time position as employee, under Belgian legislation. The selected candidate will need to either live in Belgium or be willing to move to Belgium for the duration of the contract (candidates need to provide a Belgian address) 
  • A one-year fixed term contract (possibility of extension depending on funding) 
  • 2.500 € gross salary 
  • Flexible working hours 
  • Part-time teleworking
